Meeting Minutes
Meeting called to order at 7:35

The meeting opened with a review of upcoming events for the conservancy.
The "Second Annual Family Bike Ride" will be held on 6/25/05 at 10:00am. Volunteers are welcome to lend a hand. Geordie is marking the bike route with balloons and he will also be contacting the local police departments to alert them of our event. The ride will start at the North Caldwell entrance.
Another trail maintenance day is set for 6/28/05 at 5:30pm. Again, volunteers are welcome. Every extra hand makes a big difference. Marked trails will be cleared so they can be walked on. The group will be meeting at the Fairview Ave entrance.

Logo guidelines were discussed by the group. Theresa will be collecting any logo ideas or comments and sending them to Jay to compile several logos to be presented at a future meeting. Any concept for a logo will not be eliminated until samples are presented. Visuals make it easier to eliminate concepts. Anyone with any comments or logo ideas please send an e-mail to Theresa. The group agreed the logos should be simple and noticeable.

Ken reported on our status as a Charitable Organization. There has been some trouble getting people to sign a revised document that we need signed to submit our application. Steps are being taken to find out what we can do to correct the situation. Our lawyer has given us a few options. A few questions came up for the lawyer that we need answered.
1. If we switch from a member based organization to a officer/trustee based organization, will it affect our N.J. status that is in place?
2. What is the fastest and easiest way to correct this situation?
We need answers to these questions to move forward. As of now, the Hilltop Conservancy is not recognized by the IRS. We need to have our 501c3 status with the IRS to be able to receive matching grants and donations from funding institutions.

Theresa gave an update on the meadow restoration project. A representative from Fish and Wildlife Services came to the Hilltop for a site visit and a look at the meadow area. There was much discussion about foreign invasive and native plants and how much work will be needed to get this program rolling. The visit went well and a draft agreement will be drawn up in a couple of weeks to be signed by the county and Fish and Wildlife Services.

Old business brought up included access issues and having a full loop road in the reservation*. Dennis showed two areas of concern where the reservation loop road will not be accessible(Courter Lane and part of Sanitarium Rd.). The conservancy agreed that we want a continuous loop road for recreational purposes. We are still not clear on the Courter Lane access for the reservation. The group decided that before we can voice our concerns, we need the most up to date development maps so we can clearly show the areas in question. We will try to have these maps by the next meeting.

Concern is regarding the pending destruction of the existing Wheel Friendly Path. This is currently heavily used because of the ease of travel and the area it traverses. (not a "full loop" )

New business discussed included having someone in each of the surrounding communities find out what local events are coming up. Local events are a great way to spread the word about the Hilltop. Please bring any event ideas to the next meeting.
